AI or OCR for transport orders?
OCR reads text in a fixed spot in a document and breaks as soon as the layout changes. AI reads the order the way a person reads it, even when it looks different from last week. If you process fixed documents from one sender, OCR is perfectly enough.

What does OCR do?
OCR turns the letters on a scan into text. On top of that you put a template: the address sits here, the weight sits there. For documents that look the same every time, that works accurately and cheaply.
Where does a template get stuck?
On transport orders, because they are rarely the same twice. Every shipper makes its own document, and changes it now and then without saying so.
- A new shipper means a new template that someone has to make.
- A shipper moves a column or adds a field, and the template reads the wrong value.
- The order is half in the email and half in the attachment.
- There is a note in free text that changes the whole transport.
What does AI do differently?
AI works with meaning, not with positions. It recognises that a string of digits is a postcode and that a sentence about a second loading address means a second stop, even on a document it has never seen. So there is no template per shipper, and a changed layout breaks nothing.
The flip side: AI can get something wrong in a way a template does not, and give the wrong answer with confidence. So the check afterwards counts as heavily as the reading itself.

When is OCR enough?
When you process documents that always look the same: one shipper, one template, little change. Then OCR is cheaper and more predictable, and AI is overkill.
As soon as the number of formats grows, the sum turns around. Maintaining the templates then becomes the work you wanted to remove.

- Does LaneDesk use OCR?
- For a scanned PDF, yes: it has to become readable text first. After that AI does the understanding, and the check follows.
- What if the AI gets it wrong?
- Then the order lands on a list with the reason attached, instead of landing wrong in your system. Uncertain cases are not booked.
- Do you train models on our orders?
- No. Your data is not used to train models. Documents are deleted after ninety days.
