For operational organisations, 20 to 500 employees

An extra staff member on
your order desk.

LaneDesk sits between your inbox and your system.

Orders land in your shared inbox, as a PDF, an Excel file, a scan, or just loose in an email. Someone retypes them into your ERP, WMS or TMS. That retyping is what we take away.

Works with your existing flow

Not a new platform to migrate to. Not a consultancy project. A service that runs on the system you already have.

What is managed order-intake? →

Where it goes wrong today

Every customer sends orders differently.

Orders arrive by email, PDF, Excel, screenshots or portal exports. Every structure is different. Your team has to make it all fit, every single time.

Orders from email

Trips, loads and references often come as loose text. Worded differently every time.

PDF & portal export

Documents and exports come in different structures and layouts.

Excel & weekly planning

Weekly plannings have to be turned into orders line by line.

The difference

From retyping to an order desk that runs.

Today
×
Manual retyping
Every order is entered into your system by hand.
×
Errors only visible later
Incorrect data or missing info often surfaces only after booking.
×
Evenings and weekends needed
Peaks require overtime to get everything processed in time.
×
Extra people needed
Growth in orders immediately demands more admin.
With LaneDesk
Read and structured by AI
LaneDesk reads every format and turns it into structured data.
Checked before your system
Validations and checks ensure correct and complete orders.
Edge cases flagged
Uncertainties are clearly shown for a quick check.
More orders with the same team
Less manual work, more output. Without extra people.

No blind AI. Every order is validated; doubtful cases go to a person. You stay in control.

Why automate

Retyping costs time. Errors cost money.

A person retyping orders makes mistakes. Not through carelessness, but because retyping is error-prone by nature: a digit wrong, the wrong article code, a lot number that does not match. At hundreds of orders a week that is not a question of if, but of when.

And an order error almost always costs more than the retyping did: a wrong delivery, an extra run, a credit note, an argument over the invoice, and a customer who remembers it.

We take the retyping out of the process. The data is carried over, not keyed again, and before anything is booked, it runs through a check:

Quantities are recalculated. Layers × boxes × units, and that calculation takes priority over the typed number.

Article numbers are looked up in your catalogue, not taken on trust.

Duplicate emails are detected. The same order is never booked twice.

Lot number and shelf life are checked against the article type.

Anything that does not add up goes to a person, before it reaches your system, not after.

Who knows that this particular customer puts the reference in the subject line and sends weights in kilos? Right now, one person. With us those rules are captured per customer in the flow: they do not walk out the door when someone leaves, and a new colleague does not have to learn them again.

The difference from a person is not that a machine never doubts. It is that the machine knows when it doubts, and hands it over. An order desk under time pressure does not.

The question is not whether it could be better. It is whether you should hire someone for it.

An extra administrator costs a yearly salary, every year, and is not there during the December peak. LaneDesk is a fixed annual fee scaled to your volume, and it scales with your busiest week.

Who we serve

Which companies this helps.

Whether it is a transport order, a depot instruction, a purchase order or a sample request: someone reads an email and retypes it. That is the step we take over.

Warehousing & 3PL

Instructions per client, each in its own template.

Ship & port agency

Nominations, port calls and bunker orders, by email, any format, around the clock.

Cold storage

Inbound and outbound by email, with lot numbers and expiry dates that must be exact.

Tank container depots & cleaning

Cleaning, repair and storage orders by email.

Packaging & export packers

Packing instructions and pick lists as PDF or Excel.

Industrial maintenance

Work orders and POs emailed from the site.

Chemical distribution

POs and certificates with item codes and batch numbers.

Steel & metal trade

Order lines with grades, dimensions and cutting instructions.

Technical wholesale & supply

POs full of part numbers, from spares to rental.

Labs & inspection

Sample and inspection requests, registered by hand.

Production companies

Mainly SMEs on older ERPs such as Navision or AS400.

Transport, forwarding & customs

Loose email text, PDFs and weekly plans, into the TMS.

The sector matters less than the workflow: if orders arrive by email and someone retypes them, it fits.

Where we are usually not the answer: large container and bulk terminals, and organisations already running mature EDI. If your orders already arrive structured, this is not your bottleneck, and we will say so.

LaneDesk works for: warehousing and 3PL · ship and port agency · cold storage · tank container depots and tank cleaning · fresh produce trading and packing · ornamental horticulture and plant trade · packaging and export packers · industrial maintenance contractors · chemical distribution · steel and metal trade and service centres · technical wholesalers, industrial suppliers, valve and pump specialists and industrial rental · building materials merchants · waste collection and recycling · laboratories, inspection and certification · production companies on older ERPs · transport, forwarding and customs.

How it works

From first call to a running service.

No IT project on your side. We set it up, test it alongside your current work and keep it running.

1

Order desk scan

We look at your current order flow together: which customers, which formats, what volume. Free, in half an hour.

2

Tailored proposal

You get a clear proposal: which flows we automate, how they land in your system and what it costs. No surprises.

3

We build it

We build the automation on your formats and connect it to the system you already use. No migration.

4

Tested alongside your work

We run on real orders and fine-tune until it's right. You stay in control.

5

Live as a managed service

It goes live. We keep it running, you follow everything on your dashboard. Direct line, no account manager.

Integration

We adapt to your system, not the other way around.

LaneDesk delivers the order through the channel your system already offers. We build nothing new on your side and type nothing into a screen. The finished order arrives the way your ERP, WMS or TMS expects it.

File import (FTP or EDI)

We deliver the order in the native import format and your system reads it in itself. Fastest to go live, with no change on your side.

Direct API connection

If your system exposes an API, we connect to it and deliver the order straight into it.

More than intake

We do not stop at the order.

Warehouse app. Your warehouse staff search by description instead of memorising article numbers. Five languages, on a tablet, with a test mode to practise safely.

Printing. Documents and labels straight to the right printer. Continuous SSCC numbering that never skips and never reuses.

Dashboard. Orders per day and week, time saved in hours and in euros, print statistics. Each customer sees only their own figures.

A confirmation email per order. With the article overview, warnings at the top and the processed file as evidence.

Monitoring. Seven flows watching the rest. If something stalls, we know before the warehouse notices.

Documents are purged automatically after 90 days. Each customer sees only their own figures, enforced in the database itself. Everything runs on our own servers in Europe. You install nothing, except the print service if printing happens in the warehouse.

Our first customer at work

No pilot. Real orders, every day.

LaneDesk runs live at a family-owned logistics operator with more than 50 years of trading history. Ten shippers, each with their own format, fully automated into their own system.

"All my manual orders are gone now."
Logistics manager. The first public case with figures follows later.

Built by people automating the sector they work in. You talk to the team, not an account manager. And if it isn’t worth it, we’ll tell you.

Delivered as a service

No software project on your plate.

LaneDesk is delivered as a managed service. We set everything up, keep it running and keep improving it based on your order flows.

  • No system replacement
  • No new software for planners
  • Set up around real order flows
  • Edge cases stay visible
  • Support from people who understand transport and automation
  • One fixed annual fee, not a project invoice that balloons, not a price per seat.

We start with order intake. Then step by step: CMR/POD, eFTI-readiness, and the rest of your order admin.

What it costs

No price per user, no project invoice.

A fixed annual fee tailored to your volume. We don't quote a per-document price in the wild, because it depends on your volume and your formats. In the free audit you work it out in black and white, and see that it usually sits below the cost of one extra admin hire.

For the skeptic

Honest answers to your doubts.

Sounds too good to be true? +

You are right to be sceptical. So we do not ask for belief, we show evidence: it already runs live in a real operation, and in the free audit you see it on your own orders.

Is this done with AI? +

Yes, AI reads and structures your orders. But not blindly: every order is checked, and edge cases go to a human. AI does the retyping, you stay in control.

What if it reads an order wrong? +

The system detects the uncertain cases itself, a difficult scan or an unusual format, and flags them for human review. The rest flows through automatically. Your team only handles the exceptions.

We already have a tool. +

Then you're ahead of most. LaneDesk takes exactly the orders your tool gets stuck on, the messy ones and the exceptions, and runs as a service, not as yet another tool to maintain.

What does it cost? +

A fixed annual fee tailored to your volume, no price per user, no project invoice. In the free audit you see your exact figure, usually less than one extra admin hire.

Do I have to replace my system? +

No. LaneDesk runs on top of the system you already use. No migration, no new package.

How fast am I live? +

For a first, well-defined order flow, often within weeks, shipper by shipper.

Does this replace my planners? +

No. It takes away the repetitive retyping, so your people have time for the work that really matters.
